Preparation of the letting & tenant search

Reading time: 4 Min.

Thorough preparation makes it much easier to find a tenant

Landlords in Berlin should prepare their apartment optimally before renting it out and have all the important documents ready. In particular, this includes a valid energy performance certificate, which landlords must present to prospective tenants without being asked at the latest at the viewing – since 2014, certain energy values have even been mandatory in real estate advertisements. If the energy certificate is missing or mandatory information is omitted from the advertisement, fines of up to €10,000 may be imposed.

Tip: Have any necessary repairs carried out, paint walls in neutral colors and make sure they are clean. An attractive, well-maintained apartment makes the best impression when viewings take place.

Checklist: Prepare your apartment and documents

  • Eliminate minor defects and carry out necessary repairs (e.g. replace defective fittings)
  • Thorough cleaning of all rooms; ensure fresh air (ventilate in good time)
  • Remove or safely store personal or valuable items
  • Organize energy certificate and have it ready (values from it belong in the advertisement)
  • Have important documents ready: Floor plan, last utility bill, etc.

Finding the right tenant – a challenge in Berlin

Demand is enormous in popular districts such as Prenzlauer Berg, Kreuzberg and Friedrichshain. Other neighborhoods are also booming, while less hyped districts such as Wedding or Lichtenberg are often more relaxed. Landlords should therefore assess the situation realistically and address alternative target groups if necessary. Create an informative exposé with good photos, all important data (including energy parameters) and a fair description. Use online portals, local newspapers and estate agent networks to achieve broad distribution. Allow sufficient time – despite high demand, it can take weeks to find the right tenant.

A well-maintained, bright apartment increases the chances of convincing serious prospective tenants.

Organize apartment viewings effectively

Consider in advance whether individual appointments or group visits make sense. In very tight markets, group viewings can save time, but individual appointments offer the opportunity to get to know applicants better in person. Prepare the apartment again on the day of the viewing. If the property is still occupied, the current tenant must allow the viewing (with reasonable notice) – but politely ask them to tidy up and remove personal belongings beforehand.

Note: Prospective tenants may not take photos or videos without the tenant’s permission in order to protect their privacy.

What should landlords look out for ?

The creditworthiness of prospective tenants is of paramount importance. Ask serious applicants for a tenant self-disclosure and carry out a SCHUFA credit check. Also ask for proof of income (payslips) and, if applicable, a rent-free certificate from the previous landlord. Consider in advance which tenants are suitable for the apartment (single, couple, family, etc.) and define the appropriate rent level in accordance with the rent control (see below). Also prepare a handover protocol for the handover of the apartment and have all the keys ready.

Landlords should act professionally during the viewing: Punctuality, friendliness and competent answers to questions from prospective tenants are crucial. Have all relevant documents ready (energy certificate, floor plan, overview of ancillary costs) and hand out application forms or the self-disclosure form if required. Show prospective buyers all areas of the property (incl. cellar, bicycle room, communal garden if applicable) and explain any special features of the house.

Answer questions from prospective tenants confidently. Be prepared for typical questions about the apartment and its surroundings. Prospective tenants often want to know details, e.g. about the living space, the age of the heating and windows, the internet connection, the neighbors or the approximate operating costs. Important: Defects must not be concealed – if damage is fraudulently concealed, the tenant can even terminate the contract later without notice. Openness and complete documentation of the condition protect both sides.

Conclusion: With careful preparation and a professional approach, landlords can also find the right tenant in Berlin. It is important to plan everything well, from the energy performance certificate to the design of the advertisement and the viewing. This will help you avoid vacancies and lay the foundations for a good long-term tenancy. Are you looking for support in letting your property?
